Find how much you have
Open the Job Report in Roofr's performance dashboard. Roofr's Job Reports page says the team owner and users with the Manager role can use it, so ask your Company Admin to check your role if you cannot see it.
Press Reset so no filters are applied. Roofr says Reset shows all lifetime jobs. Read the totals from the KPI cards at the top. If you do not see a job count there, ask Roofr support for one, or, on Scale, export the chart and count the rows.
Look at the outcome mix. Roofr counts Won and Completed as closed, and Lost and Unqualified as lost, and the rest are pending. Lost and unqualified jobs belong in your total, so do not subtract them.
To find your start date, sort the Detailed Job Chart, which Roofr says holds all jobs data and can be sorted and filtered. Roofr's Job Reports page shows the job list with a date created column, so the earliest date there is where your history begins. You can also filter by dates and step back until the chart comes back empty.
For contacts, open Contacts, which lists them centrally and can be sorted by date created. Roofr's article does not show a contact total, so if you need an exact number, use the export dropdown at the top right to download the list as CSV or Excel and count the rows.
Photos, contracts and other files live in the Attachments section of each job card. Roofr publishes no account-wide file count, so open five or six jobs of different ages, average their files, multiply by your job count and mark the figure Estimated.
What to put on your intake
Your intake has five boxes for each system. Here is what goes in each one for Roofr.
- What does it hold?
- Leads and jobs moving through your workflow stages, contacts, tasks and job details, proposals, invoices, material orders, inbox emails and texts, and the files attached to each job. Add work orders and job costing if you use them.
- Data types
- Structured records and Text for jobs, contacts and messages. Add Image if job photos are attached and you want them in scope.
- How big is it?
- Report the number of jobs from the Job Report. Add your contact count and a rough file estimate in the description.
- Verified or estimated
- Verified when the number comes from the Job Report with filters reset or from an export you counted. Estimated for sampled figures such as photos per job.
- Records start
- The created date of your oldest job, from the date created column in the Job Report. If you moved jobs over from another system, say so in the description.
Exporting the full history
If a buyer licenses your records, this is how the full history comes out of Roofr.
Nothing is exported until you have signed a license and agreed the scope: the date range, which job fields, and whether contacts, messages or files are in or out. The steps below show what to expect.
Job data comes from the Export Data button on the Detailed Job Chart in the Job Report, and the Lead Performance, Team Performance and Lost Jobs dashboards have the same button. Roofr says Job Report filters such as date ranges and stages carry into the file. Its help article describes a CSV, its Job Reports page also lists XLSX and JSON, and that page says exporting is available on Scale only.
Roofr's Job Reports page shows the job list with customer name, job address, lead source, job value, job owner, workflow, date created, stage, payment status and date last updated. Those are the fields a buyer would see, after identifiers are removed.
Contacts export from the dropdown at the top right of the Contacts page, either the whole list or a selection, as CSV or Excel.
Files are downloaded job by job. On a job card, tick the files or folders in Attachments and click Download. Roofr emails the files as a zip of up to 5 GB, and the link expires after 7 days.
We did not find a documented export for inbox messages, proposals, invoices or job notes. Ask Roofr support what they can provide in bulk before you agree the scope.
We only ask for an export after you sign a license and agree the scope. Sizing your data for the intake never needs one.
Limits to know
- Plan limits apply, and Roofr's own pages differ. The Job Reports page says Job Reports are on Essentials and Scale and export is Scale only, while the 2026 pricing article lists Reporting & analytics only under Scale. Starter, Measure+ and Essentials customers should confirm with Roofr what reporting they have before counting on it.
- The job export is job-level. It lists the fields above, and Roofr does not describe notes, tasks, messages or attachments as part of it, so those need the separate steps.
- Attachment downloads are capped. Roofr emails a zip of up to 5 GB with a link that expires after 7 days, uploads are limited to 20 MB per file, and each job is downloaded on its own.
- Roofr will not delete a job that has supporting resources such as invoices; a job with only a measurement report can be deleted once the report is deleted. Roofr suggests moving jobs you want off your performance board to the Unqualified stage, so that stage can hold parked or duplicate jobs, not only true non-leads.
- Roofr's Zapier connection sends data one way, from Roofr to another app, and the help article does not describe back-filling history. We found no public Roofr API documentation.
- We found nothing in Roofr's help center on how long data is kept after you cancel. Check with Roofr before you cancel and ask for any export you need in writing.
This guide isn't legal advice. Check your contracts, and any recording-consent rules that apply, with your own lawyer.
Why buyers value it
Roofr sits at the front of the sale. A lead arrives through the instant estimator or an inbound email or text, a measurement report is ordered, a proposal goes out, and the job moves through stages to Won, Completed, Lost or Unqualified. That chain, with lead source, job value and owner on each job, shows how roofing quotes turn into signed work.
Lost jobs carry reasons. Roofr's Lost Jobs dashboard breaks lost and unqualified jobs out by reason and tracks the average days from creation to loss, which is the kind of outcome data buyers want to see next to the quote itself.
What stays private
Buyers receive de-identified operating records. Under the license, the de-identification step before delivery removes or excludes:
- Customers and contacts: names, property addresses, phone numbers and email addresses. The job export carries customer name and address, so they come out first.
- Messages: the contents of inbox emails and texts are included only if the scope says so, and with identifiers removed.
- Payments and accounting links: card, bank and payer details, and anything synced to a connected accounting tool.
- Staff data: employee personal details, pay and commissions.
- Third-party content: measurement reports, whether ordered through Roofr or from another provider, any ESX files ordered with them for Xactimate, and supplier catalogs or pricing from connected distributors such as ABC Supply, SRS Distribution and QXO.
