CRM and job management

How to find and size your JobNimbus data.

Find how many jobs, contacts and attachments JobNimbus holds, and how a full-history export works.

Find how much you have

  1. Sign in, open the Insights tab and click Classic Reports at the top right. Reports you have saved are listed under My Saved Reports. Some older JobNimbus help articles call this area the Reports tab.

  2. Create a Job report, which lists every job, and a Contact report, which lists every contact. Add the columns you want (status and date created are useful), give each report a name, and use the Available to setting so you can see it.

  3. Add a Date filter to check history one period at a time. Date filters find records by when they were created, with options such as Between and From/To. A Boolean filter set to true can show only archived contacts or jobs, so you can see how many of those you have. Leave Sales Rep and Assignee filters off for your total, because JobNimbus says reports filtered that way leave out jobs assigned to deactivated or inactive users.

  4. Read the total. JobNimbus's help articles do not say whether a report shows a record count, so if you do not see one, export the report to CSV and count the rows (this needs the Export setting on your access profile), or ask JobNimbus support for the number.

  5. Find your start date by using the Date filter's Older Than option and stepping the date back until the report comes back empty. The last year with records is where your history begins.

  6. Photos and documents attach to individual contacts and jobs, under their Photos and Documents tabs. There is no published account-wide file count, so open five or six jobs of different ages, average their files, multiply by your job count and mark the figure Estimated.

What to put on your intake

Your intake has five boxes for each system. Here is what goes in each one for JobNimbus.

What does it hold?
Contacts and jobs with their statuses, activity history and tasks, plus estimates, invoices and payments if you use them, and the documents and photos attached to each record.
Data types
Structured records and Text for contacts, jobs, notes and activity. Add Image if you want job photos included.
How big is it?
Report the number of jobs. Put your contact count and a rough file estimate in the description so the full picture is visible.
Verified or estimated
Verified if the number comes from a saved report or a CSV you counted. Estimated for anything you extrapolated, which is usually the file counts.
Records start
The date your oldest job was created. JobNimbus can import contacts from a CSV but not jobs, so if you loaded an old customer list, note that job history starts later than the contacts.

Exporting the full history

If a buyer licenses your records, this is how the full history comes out of JobNimbus.

  1. Nothing is exported until you have signed a license and agreed the scope: which record types, which date range, and whether files are in or out. The steps below show what to expect.

  2. Tabular records come out of Classic Reports. Build one report per record type in scope (Contact, Job, Activity, Estimate, Invoice, Payment, Document and so on), save it, then use the three-dot menu next to the report title to choose Export to CSV or Export to Excel. The file holds only the records and columns in the report, so add every column you need first.

  3. Exporting depends on the Export feature access setting in your access profile. If the menu option is missing, someone with Account Settings access can change it.

  4. Insights dashboard tables can also be downloaded from their three-dot menu with Download. The Sales Data page holds the raw data for jobs and their financials, and JobNimbus says to check that you use JobNimbus Estimates if those tables look empty.

  5. Files are collected one record at a time. Open a contact or job and use Download All on its Documents or Photos tab to get a zip of that record's files. A contact's download covers only files attached to the contact itself. JobNimbus says its support team can help with a bulk export for high-volume records.

  6. For automated pulls, a developer can use the JobNimbus API. Create a key in Settings, choose the access profile it should use, and send it as a bearer token to api.jobnimbus.com. Keys expire one year after they are created.

We only ask for an export after you sign a license and agree the scope. Sizing your data for the intake never needs one.

Limits to know

  • There is no one-click export of the whole account. JobNimbus's help center says data comes out per report and per record, with Download All used on each contact or job for files, and that support can help with a bulk export for high-volume records.
  • JobNimbus tells customers it does not guarantee to hold data for cancelled accounts, and its terms say it retains customer data under a data retention policy and may charge a reasonable fee for export requests. Trial data that is never converted to a paid plan may be deleted without notice. Plan any export before you cancel.
  • An export reflects the report at the moment you download it. Changes made later in JobNimbus do not update a file you already saved, and the Document report leaves out Company Documents.
  • Viewing reports and exporting them are separate settings on an access profile. An API key also takes its permissions from the access profile it was given when created, and does not pick up later changes, so a new key is needed to use updated permissions.
  • JobNimbus's help article does not say how long deleted records stay recoverable. Deleted jobs and contacts can be restored from an Activity report, but do not count on it for history that is years old.
  • Pulling more than 10,000 items through the API has its own guide. JobNimbus publishes a separate query document for that case, so a developer should read it before planning a full-history pull.

This guide isn't legal advice. Check your contracts, and any recording-consent rules that apply, with your own lawyer.

Why buyers value it

JobNimbus is where a roofing or solar company's lead-to-cash story is written down. A contact becomes a job, the job moves through statuses, an estimate goes out, an invoice follows and a payment lands, with notes and tasks recording what people did along the way. That sequence of actions and outcomes is what buyers training AI for sales, scheduling and production work are looking for.

Status history is particularly useful. It shows how long jobs sit at each stage, which lead sources turn into signed work, and where deals go cold. Your activity log carries reasoning that never reaches accounting software.

What stays private

Buyers receive de-identified operating records. Under the license, the de-identification step before delivery removes or excludes:

  • Customers and contacts: names, addresses, phone numbers and email addresses, including any custom fields that hold them.
  • Notes with personal detail: free-text notes and activity entries are redacted for names, numbers and addresses, or left out of scope.
  • Payments: card, bank and payer account details, including anything from a payments account connected to JobNimbus.
  • Staff data: employee personal details, pay and commission records.
  • Third-party documents: supplier price lists, manufacturer paperwork and measurement reports stored in your attachments, since you do not own them.

Common questions

Check your filters first. JobNimbus says a report filtered by Sales Rep or Assignee leaves out jobs assigned to deactivated or duplicate inactive users, so staff who left can take their jobs out of your count. Archived jobs are another place history hides; a Boolean filter set to true shows them. Remove those filters and count again.

Exporting is controlled by the Export feature access setting on your access profile, and viewing reports is a separate setting called Reporting and Analytics. Ask someone with Account Settings access to review your profile. You do not need a download to fill in the intake; a figure marked Estimated is fine.

They count as contacts, but not as jobs. JobNimbus can import contacts from a CSV and cannot import jobs, so your job history starts when you began creating jobs in the system. Put the real start date of jobs in your intake and mention the imported contacts in the description.
