Accounting practice management

How to find and size your TaxDome data.

Find how many jobs TaxDome holds outside tax return work, and how its CSV exports of jobs, tasks, time and billing work if a buyer licenses your records.

Find how much you have

  1. Sign in as the firm owner, an admin, or a team member with access rights to manage pipelines. In the sidebar, go to Workflow, then Jobs, and click Export jobs. TaxDome emails a download link that is valid for 24 hours. Click it, log in to TaxDome if asked, and open the zipped CSV.

  2. Check that your files cover both active and archived jobs. TaxDome says you can export either and lists different columns for each, but its article does not say how to switch between them, so ask TaxDome support if archived jobs are missing. It also says there is no limit on how many jobs you can export, and that you can filter the job list first to export only part of it. Count the rows.

  3. Sort the CSV by its pipeline column. Jobs in pipelines that exist to prepare income tax returns are income tax return information and out of scope in every deal, so subtract them. If a pipeline mixes tax and other work, treat it as tax unless counsel says otherwise. The remaining count, such as bookkeeping, advisory and onboarding jobs, is your number.

  4. For recurring work, go to Workflow, then Job recurrences, then Export. For time, go to Billing, then Time entries, then Export time entries. Count the rows of each and put the figures in the description rather than adding them to the jobs count.

  5. TaxDome says every export you make is reflected on the Activity feed page, which gives you a record of who pulled what. Take your start date from the earliest date added among the jobs you would license.

What to put on your intake

Your intake has five boxes for each system. Here is what goes in each one for TaxDome.

What does it hold?
Your firm's own non-tax work: jobs moving through pipelines and stages, recurring work, tasks, time entries, invoices and payments. Something like: bookkeeping and advisory jobs by pipeline stage, with due dates and time logged. Say plainly if most of your TaxDome use is tax return preparation, because that part is left out.
Data types
Structured records for jobs, stages, dates, time and billing. Add Text only for job comments you have reviewed, since TaxDome's job export includes comments and they often name clients. Documents, organizers and chats are not offered.
How big is it?
Choose Jobs and enter the number of non-tax jobs, active and archived, from your CSV exports. Put recurring-work, task and time-entry counts in the description.
Verified or estimated
Verified when the number comes from the row counts of the job exports with tax pipelines taken out. Estimated when you scaled up from one year or guessed which pipelines count as tax.
Records start
The earliest date added among the non-tax jobs you would license. If you moved to TaxDome from another practice tool, earlier work lives there and belongs in its own entry.

Exporting the full history

If a buyer licenses your records, this is how the full history comes out of TaxDome.

  1. A buyer export happens only after a license is signed and the scope is agreed: which pipelines, which years, and whether time and billing data are in. Tax return work is out of every deal. Separately, TaxDome says you keep portal access only until the subscription expiration date after you cancel, asks for cancellation requests at least 7 business days before renewal, and advises exporting all your data if you will not renew, so take your own copy first.

  2. Each export is a button in the part of TaxDome that holds the records, and each emails a link, valid for 24 hours, to a zipped CSV. Clients, then Accounts has an export icon, and Clients, then Contacts has Export contacts. Under Workflow, Jobs has Export jobs, Job recurrences has Export, and Tasks has Export tasks. Under Billing, use Export invoices, Export payments and Export time entries.

  3. Access rights differ by export. Accounts, contacts, job recurrences, payments and time entries need the right to manage that area, and jobs need the right to manage pipelines. Tasks need access to view all accounts, and invoices need both viewing all accounts and managing invoices. A firm owner or admin can run all of them.

  4. Filter before you export. TaxDome suggests filtering the account, contact (by tag), job, task, invoice, payment and time entry lists so the file holds only the agreed scope.

  5. Documents and organizers hold client content, which is excluded by default. For your own backup, TaxDome says to copy folders from TaxDome Drive to your local drive, and organizers export from the Organizers sidebar or a client's Organizers tab, with the three dots and then Export.

  6. Do not pull data in bulk through TaxDome's API. TaxDome's terms bar using the API for scraping, bulk data extraction outside the platform's standard backup tools, or benchmarking without its prior written consent, and call polling more often than once every 60 seconds abnormal usage. Use the in-app exports above, or get TaxDome's consent in writing first. Under the license, client, contact and staff identifiers are removed before anything reaches a buyer.

We only ask for an export after you sign a license and agree the scope. Sizing your data for the intake never needs one.

Limits to know

Third-party content

Documents clients send for their income tax returns count as income tax return information (IRC §7216) and are never licensed. Other client files need each client's documented consent before anything leaves the firm.

  • TaxDome mixes workflow records with client content, and its own column lists show where. The account export lists login credentials, assigned tags, followers and linked notes. The contact export lists street addresses, phone numbers and notes. The job export lists comments, linked documents and chats. Those columns are where identifiers hide, and none of them is licensed as is.
  • Income tax return information is never licensed. That covers jobs, tasks, notes, organizers, chats, documents and IRS correspondence tied to preparing income tax returns, even with names removed and even as statistics (IRC §7216, 26 U.S.C. 7216; 26 CFR 301.7216-2(o)). For a firm that mostly prepares returns, little of TaxDome may be licensable. This is general information, not legal advice.
  • Pipeline structure may not export as such. TaxDome's export article lists accounts, contacts, jobs, job recurrences, tasks, organizers, invoices, payments, time entries and documents, and does not list pipelines or job templates. The job export does carry pipeline and stage columns, and the job recurrence export names the job template, so the structure shows up there. Ask TaxDome before you promise a buyer a template export.
  • The account export is described as covering your active accounts, yet its column list includes an archiving date for archived accounts. Check whether archived accounts appear in your file before you count them.
  • Download links last 24 hours and need a TaxDome login. If a link lapses, run the export again.
  • The invoice export covers one-time invoices only. One-time invoices generated from a recurring invoice appear in that list, but the recurring definitions do not.
  • Excel cuts leading zeros from values such as 001, and TaxDome's troubleshooting tip is to open the file in Google Sheets if columns look wrong.
  • Client-level records from non-tax work need that client's specific consent under the AICPA Code (1.700.001), and state law may add its own rules, for example Cal. Bus. & Prof. Code §5063.3 and Tex. Occ. Code §901.457. Check the rules in every state where your CPAs are licensed. This is general information, not legal advice.

This guide isn't legal advice. Check your contracts, and any recording-consent rules that apply, with your own lawyer.

Why buyers value it

TaxDome is where a small accounting firm's day-to-day work is tracked. Jobs move through pipeline stages, repeat on a schedule, spawn tasks, and tie to time entries, invoices and payments. For a firm that does bookkeeping, payroll or advisory work alongside tax, years of those records show how routine accounting work is staged, timed and billed.

Be realistic about scope. Most of what TaxDome holds is client and tax material, and that part is not licensable. What can be is the firm's own operating structure and its non-tax job history, which for many firms is a smaller slice. Buyers building accounting workflow tools want that slice when it carries consistent stages, dates and time against jobs. Job-level records tied to real clients are confidential client information under the AICPA Code of Professional Conduct (opens in a new tab) (1.700.001) and are considered only with each client's specific consent, which interpretation 1.700.060 says should preferably be in writing. This is general information, not legal advice.

What stays private

Client, contact and staff names, email addresses, phone numbers, street addresses and tax IDs are removed from jobs, tasks, time entries and billing records before delivery under the license, along with names typed into job names, comments and descriptions. Payment and bank details are excluded.

Income tax return information is never licensed. Under IRC §7216 (opens in a new tab) and 26 CFR 301.7216-2 (opens in a new tab) it is defined by where it came from, so redaction does not change that, and preparers may not sell even anonymous statistics built from it. Organizers, client chats, portal messages, documents, signed forms and account credentials are excluded by default, and so are your user list and permissions. This is general information, not legal advice.

Common questions

Possibly a little. Tax return jobs and everything tied to them are out (IRC §7216; 26 CFR 301.7216-2(o)). What can be considered is your non-tax job history and your own pipeline structure, with client details removed and, for client-level records, that client's specific consent under the AICPA Code (1.700.001). If nearly all your work is tax, say so on the intake. This is general information, not legal advice.

Not for bulk extraction. TaxDome's terms bar using the API for scraping, bulk data extraction outside its standard backup tools, or benchmarking without its prior written consent. The in-app CSV exports are the route, or you get TaxDome's written consent first.

TaxDome says the emailed link is valid for 24 hours, and you may need to log in to TaxDome to use it. If it lapses, run the export again. Every export is also listed on the Activity feed page.

TaxDome's export article does not list them. The job export includes pipeline and stage columns, so the structure shows up in the exported jobs. Ask TaxDome whether templates can be exported before you tell a buyer they can be.
